In today’s rapidly moving transportation and logistics (T&L) industry, efficiency is essential for

Challenges in Transportation & Logistics Document Processing

The current transportation landscape offers enterprises an array of options to choose from, 
including ocean freight, air freight, trucking, and railway. However, this broad variety of 
transportation options leads to a higher administrative workload for enterprises managing 
logistics across state and even country lines. All of these, of course, are fueled by 
documentation and the data that resides on the documentation. Consider waybills, BOLs, 
customs declarations, and commercial invoices, just to name a few. So T&L organizations need 
to increase document processing operations, which gather this information and input it into 
back-end systems. This increased document processing workload puts a heavy burden on 
administrators and systems, leading to a significant decrease in processing speed which results 
in substantial delays in shipping times and revenue.

Paper documents are still in use everywhere

Despite living in a digital age, many truck carriers still use paper delivery docs (i.e., BOLs). After 
delivery, these carriers must then quickly digitize and import the data from those paper 
documents into a transportation management system to invoice their customers. Speed and 
accuracy are a must for a timely transfer of goods and payment. But multiple shipments come 
with a wealth of documents. And more documents means an increase in different document 
types, which leads to a greater number of errors, flaws, and other roadblocks that can stall the 
process, delay payment, and significantly impact revenue cycles.

Digital documents that require manual data entry

Paper is not the only challenge, however. While many T&L organizations have moved to “digital” 
documents, this means simply that they are using PDFs in place of paper. The document is now 
digital, but the data on that document must still be imported into the transportation 
management system. The digital document may be easier to read and access, but a bottleneck 
still occurs when the information must be entered into the system. This is often performed by 
back office workers and therefore slow, tedious and manual–and ripe with errors.

Tech-only solutions don’t deliver quick (enough) processing

Investments have been made in document processing technologies like OCR and AI by 
organizations in the T&L industry. However, these tech-focused solutions—often called IDP, or 
intelligent document processing—are only automating about 80% of document processing on average.

Those last 20% can cost both money and time. Consider logistics customs and 
brokerage, for example: documents attached to international shipments must be processed as 
quickly and accurately as possible in order to clear customs and therefore minimize delays in 
customer delivery.
